Connecting Copilot to Gmail: Start With Permissions
Review account types, permissions and business use before connecting Gmail or Google Calendar to Microsoft Copilot.

Finding an email across several accounts can interrupt otherwise straightforward work. Connecting an AI assistant may help, but it also creates a new relationship between your information and another service. Decide what that connection should accomplish before enabling it.
Which Copilot connection are we discussing?
Microsoft’s consumer Copilot documentation lists Gmail, Google Calendar and other supported services. It describes connectors on Copilot.com and the mobile apps, with sign-in and authorization required.
That is different from assuming every Windows taskbar experience can search your company’s Microsoft 365 mailbox. Microsoft also documents Microsoft 365 Copilot connectors for organizational systems. Check the exact product and account before applying instructions from either guide.
What to review before connecting an account
Start with ownership. Is this a company-managed account or an employee’s personal Gmail? Who can authorize its connection, and what happens when that person leaves? Avoid making a personal account the unplanned home for a business process.
Read the permissions requested on the authorization screen. Ask what information the chosen integration can access, why that access is needed and how it can be revoked. Review the applicable data-handling terms rather than assuming every product carrying the Copilot name has the same rules.
Test a defined task with approved information
Choose a limited question that you can verify, such as locating a known test message. Check whether the answer points to the correct source. A convincing summary is not enough if a date, commitment or customer instruction is wrong.
Keep a person responsible for decisions and communications based on the result. If a workflow involves several tools, map the handoffs first. Business process automation may solve a repeated task without giving an AI assistant broad access to accounts.
Common questions
Does connecting Gmail automatically connect our work Outlook account?
Do not assume so. Check each supported service, signed-in account and authorization separately. Your organization’s approved configuration should determine what gets connected.
Can employees decide this on their own?
Use your company’s approval process for integrations involving business information. A clear AI acceptable-use policy helps employees distinguish a useful experiment from an unauthorized data connection.
