Why Microsoft 365 Doesn’t Back Up Your Data, And How to Fix It
Most businesses move to Microsoft 365 because they think the cloud will keep them safe. No servers to manage, no more lost files. It's easy to assume that means everything is backed up automatically.
It isn't, not fully.
The Shared Responsibility Myth
Microsoft 365 operates under something called the Shared Responsibility Model. Microsoft is responsible for the infrastructure: uptime, performance, and availability.
You are responsible for protecting your data.
This means that emails, OneDrive files, Teams messages, and SharePoint documents are not automatically backed up for long-term recovery. If something is deleted, corrupted, or overwritten, it might be gone for good.

What Microsoft 365 Really Offers
- Deleted emails are kept for 30 days (default settings).
- OneDrive and SharePoint recycle bins last 93 days.
- Ransomware, accidental deletions, or malicious insiders? Microsoft doesn’t guarantee full recovery.

How To Truly Protect Your Microsoft 365 Data
We help businesses put real cloud backup protections in place. See what our cybersecurity services cover for small and mid-sized businesses.
1. Use Third-Party Cloud Backup
A proper cloud-to-cloud backup service automatically backs up your Microsoft 365 data:
- Emails, OneDrive, Teams, SharePoint
- Daily backups with point-in-time restores
- Backups stored separately from Microsoft’s cloud for added protection
2. Know What’s Actually Covered
Most businesses don’t realize what isn’t being saved:
- Are your Teams chats recoverable?
- Are SharePoint file versions properly retained?
- What happens after the recycle bin empties?
We help you answer these questions.
3. Train Your Team
Employees often assume cloud = safe. Security awareness training gives your team short lessons by email and a monthly phishing simulation, included or added on depending on your plan.
4. Stay Proactive
Where we manage your backups, restores are tested daily by automation and monthly by our team, so you know a backup works before you need it. Explore our IT support and consulting services.
